Case study - Enako OS: an all-in-one business management system

We built a complete business management ecosystem from scratch — combining CRM, project management, invoicing, and a daily productivity tool into one platform where data flows on its own instead of being entered by hand, over and over.

The situation

Most small and mid-sized businesses run their operations through several disconnected tools: one for contacts, another for tasks, a third for invoices, a fourth for tracking personal plans. Every new client or deal means entering the same data two or three times, and the owner ends up manually piecing together the real revenue picture from scattered sources.

There's a second, less obvious problem too: owners and managers often mix team and personal work in the same systems, so the team's workspace fills up with personal notes, and personal projects get cluttered with team noise.

"Chaos isn't a sign of growth. Usually, it's a sign that a business has outgrown its systems." That's the exact insight we wanted to turn into a concrete tool.

The solution

  • Isolated workspaces. The system has separate Company Space and Personal Space environments — the team works in a shared space, and with one password-protected click, anyone can switch to personal projects with zero data mixing.

  • A daily plan with "rollover" logic. The Battle Plan module lets you build a daily task list with a built-in timer. Unfinished daily tasks automatically roll back into the queue, and repeatedly postponed tasks get flagged visually in the system — protecting against "stuck" work that quietly falls off the radar.

  • A CRM with automatic revenue forecasting. A Kanban-style sales pipeline assigns a probability percentage to each stage (e.g., proposal — 50%, negotiation — 80%) and automatically recalculates expected cash flow (Expected Value) — the manager sees not just total deal value, but a realistic forecast.

  • Leads → Deal → Invoice, with no re-entering data. A prospect gets qualified in the Leads module, becomes a CRM contact and a deal, and once the deal is won, an invoice gets issued with one click — the details auto-fill from the CRM record.

  • Automatic invoice generation. The Finance module generates a professional A4 PDF with the company logo and calculated taxes, with no separate document tool needed.

  • A full audit log. The Activity module gives admins the entire system history — who changed what and when, which invoice was issued, which client was added or deleted.

  • A safe demo environment. Prospective clients can freely test the system — create, edit, delete data — and reset the database to its initial state anytime via Settings → Demo Environment, with one click.

Results

Enako OS currently runs as a fully functional demo — showing what a connected system looks like in practice, not just in theory. It's also become a concrete sales tool: instead of explaining to clients what we could build, they can touch a working product right away and picture it in their own business.

How do you use the demo environment?

Once logged in, you can freely browse and test every feature (feel free to create, edit, or delete data — it's a sample space!).

To switch into the full Company Space via the side menu, the system will ask for a password.

How do you reset the demo data?

If you want to start testing "from a clean slate" or you're running low on test data, you can reset the database to its initial state at any time.

Just go to Settings, select the "Demo Environment" tab, and click "Wipe & Re-Seed Data." Wait a moment (it takes a few seconds), and the system will be filled again with brand-new, clean demo client, project, and invoice data!
